The strategic decision was made to move away from a model reliant solely on upfront payment, transitioning instead to a system of bespoke, fully customisable payment plans that could be tailored by UCD administrators on a course-by-course basis — a significant and forward-thinking shift that would open the door to a far wider range of prospective students who might otherwise have been deterred by the requirement to pay in full at the point of enrolment.

UCD Professional Academy had an established and functional Stripe payment integration embedded within its enrolment system, providing students with a reliable and convenient means of paying tuition fees online. Whilst this existing setup served its purpose effectively for straightforward transactions, it was limited in one significant and increasingly problematic respect — supporting only one-time payments at the point of registration. As the profile of UCD Professional Academy's student base continued to diversify and evolve, this constraint became a growing barrier to accessibility, excluding prospective learners who would have enthusiastically enrolled had they been offered the option to spread their tuition costs over time in a structured and manageable way. In a competitive professional education landscape where flexibility and inclusivity are increasingly expected as standard, this limitation represented both an operational gap and a missed opportunity to extend the reach and impact of UCD's programmes.

Recognising the importance of addressing this challenge in a comprehensive and sustainable way, UCD Professional Academy set out to develop a solution that would deliver on three clear and interconnected objectives. The first was to introduce flexible phased payment plans that would make professional education more financially accessible to a broader range of students, removing one of the most common barriers to enrolment. The second was to meaningfully expand the range of available payment methods, ensuring that students could complete transactions using their preferred platforms and payment tools without friction or inconvenience. The third, and equally critical, objective was to maintain fully automated reconciliation within UCD's existing financial systems, eliminating any requirement for manual tracking or administrative intervention that could introduce errors or place additional burden on the institution's finance teams. Operating entirely behind the scenes, the system dynamically generates Stripe Checkout sessions based on individual student data, ensuring that every transaction is correctly and consistently structured for accurate reconciliation from the outset. A particularly crucial and transformative element of the solution was the introduction of the ability to create fully bespoke payment plans on demand, tailored to the specific requirements of each course and configured by UCD administrators with ease and flexibility. By leveraging Stripe's Billing product, the system also ensures that robust and automated revenue recovery processes are in place to handle missed payments efficiently, significantly reducing the need for manual intervention and delivering meaningful improvements to the institution's overall financial efficiency and operational resilience. Complementing these capabilities, comprehensive metadata tagging was implemented across customers, invoices, and subscriptions throughout the system, a detail-oriented enhancement that enables seamless and accurate financial reporting, ensuring that every transaction remains fully traceable and auditable within UCD's existing reconciliation framework.

Alongside the core technical architecture, a significant focus was placed on optimising the student-facing payment experience to ensure it met the high standards of professionalism and ease of use that UCD Professional Academy's reputation demands. Given that the middleware solution required real-time API interactions between Stripe and UCD's enrolment system, a degree of additional processing time was an unavoidable technical reality when students transitioned between systems prior to a checkout session being presented. Rather than allowing this processing time to manifest as a confusing or confidence-undermining delay, Square1 designed and implemented a fully UCD-branded waiting page, displayed immediately upon transition whilst the necessary backend processing and verification took place seamlessly in the background. This thoughtful and user-centric design decision ensured that students received instant visual feedback and a clear sense of progress at every stage of the journey, reinforcing their confidence in the process and maintaining the perception of a fast, fluid, and professional payment experience — regardless of the complex technical interactions occurring behind the scenes.
